Practical questions about choosing cover

We already offer private medical insurance as part of our staff benefits package. How can we avoid duplicating cover or confusing staff about which plan to claim under? Hide

When arranging Bupa Travel Insurance, our account manager will ask about your company's existing employee private medical insurance scheme to make sure that there's no costly overlap or duplication in cover. With this in mind, Bupa Travel Possessions could provide the cover you need because it's been designed to complement international medical insurance. How do I get a quote? Hide

Call Bupa Travel Services on 0800 00 10 22*. One of our advisers will be able to talk you through our range of cover options which combine 24-hour worldwide protection with the flexible choice of products you need.

What is the maximum group size? Hide

There is no maximum group size. We can speedily arrange cover for companies with as few as three employees to more than 150 employees. For more information, call 0800 00 10 22* and speak to one of our Bupa Travel Insurance advisers.

What is the minimum group size? Hide

We offer a range of products, including low cost options, for as few as three people travelling during the year.

Are there any age limits? Hide

Bupa Travel Essentials has a maximum age of 65 years. For all the other Bupa Business Travel Insurance options, the maximum age limit for employees is 74 unless otherwise agreed. Please note that on policies where winter sports cover is available, cover is only applicable to those aged under 65.

How is Bupa Business Travel Insurance administered? Hide

You will have an account manager who will arrange all your administration and policy information for you. Once an employee becomes a policy holder, they will receive a welcome pack which provides contact details for our customer services and claims teams.

What's covered by Bupa Business Travel Insurance?

Are employees covered for leisure activities outside business hours? Hide

For each of the five Bupa Business Travel Insurance choices, there are three different options:

  • Business cover only
  • Business and leisure cover
  • Business, leisure and family cover

If you select the business and leisure cover option, your employees will be protected for leisure trips as well as business. However, please refer to the appropriate policy wording for a full list of activities covered by your chosen policy. It's important to make it clear to staff which activities they are covered for - especially if they’re planning to take part in any sports while they are away.

Are employees covered for winter sports? Hide

Winter sports are covered only if you've chosen and paid for the appropriate policy and cover. Cover is restricted to 17 days and is only available to employees under 65 years of age. For further details please call 0800 00 10 22* to speak to a Bupa Business Travel Insurance adviser.

Are laptops and other kinds of business equipment covered? Hide

Laptops and other business machines are covered under Bupa Travel Complete and Bupa Travel Possessions up to the value of £2,000. We will replace or repair a business machine if it is lost, stolen or damaged. Please also note that an excess applies to this benefit.

Are pre-existing medical conditions covered? Hide

We can cover most medical conditions, either within the standard policy or possibly through an extension to the medical element of your chosen policy. For more information, contact your account manager or call 0800 00 10 22* to speak to a Bupa Business Travel Insurance adviser.

How long can staff be away for on a single trip? Hide

While your employees can take as many trips as they like during the year, the maximum overall length of time they can be away for is 180 days in any policy period excluding the Bupa Travel Essentials scheme. For Bupa Travel Essentials, the maximum length employees can travel for on one trip is 31 days.

Providing Bupa business travel cover as part of your staff benefits package

How is it paid for? Hide

Bupa Business Travel Insurance is paid for as a fully company paid benefit.

Does Bupa Travel Insurance offer any tax benefits to the employer? Hide

As an employer you will obtain corporation tax relief for the full value of the premium. Your employees' taxable benefit may be on a lower value than some of the benefits provided by Bupa TravelCover and may attract P11D dispensation. Please consult your relevant tax district for more information.

Who is covered by Bupa Business Travel Insurance? Hide

By opting for business, leisure and family cover, you can choose to extend the leisure benefits to an employee's family. Prices for the business, leisure and family rate include cover for the named employee, their spouse or partner and dependent children up to the age of 21, who are in full-time education and who normally live with the insured person. Independent family travel cover is included under Bupa Travel Complete and Bupa Travel Possessions. Family members, including spouses or partners, must live at the same address as the employee to be eligible for cover.

How to make a claim

What should employees do while overseas? Hide

In the event of an emergency, your employee should call the 24-hour assistance helpline on +44 (0)20 8763 3115*.

Our helpline is manned by multi-lingual travel coordinators and medical staff who will be able to help with travel and health problems. They’ll also be able to authorise costs over £500 if employees require assistance in an emergency.

If your employee suffers a minor illness or injury while still abroad, they may be asked to settle any costs under £500 locally. Don’t worry - these costs can usually be reclaimed when they return home.

If your employees need to make a legal protection claim**, they should immediately phone +44 (0) 1784 410 910*.

What should employees do when they return home? Hide

Before phoning the claims helpline, employees should have their policy number to hand because they’ll need to give this number to the claims adviser.

For all claims your employee should phone the Bupa Travel Insurance claims helpline on 01784 410910* and ask for a claim form. They will be asked to give their name, policy number and details of the claim.

Alternatively, employees can download a claim form from the list below which they should print out, complete and post to the address shown on the document.

What extra information do I need to supply? Hide

To make a claim, employees must supply all their original invoices, receipts, reports and confirmation of the dates of their trip (flight tickets, itinerary and other related items). Employees should also double-check their policy wording to see if there's any specific supporting evidence, such as a police report, that they must provide. They should also check if there are any specific conditions and exclusions that may apply.

Please remember that it's always advisable to keep copies of all documents.
